Description/Job Summary

This position is in the Palo Alto, CA office of Simpson Thacher.  The Attorney Recruiting & Associate Life Assistant is responsible for supporting the Palo Alto Legal Recruiting team with attorney recruiting efforts, the summer associate program, events throughout the year, attorney professional development, and various administrative tasks. This position is mostly an in-office position.

Responsibilities/Duties

  • Assist with Summer Associate Program
    • Help prepare for weekly Summer Program social events
    • Attend social events
    • Maintain database of Summer Associate assignments
    • Gather and compile attorney feedback for Summer Associate performance evaluations
  • Assist with On-Campus Interviewing and In-Office Attorney Interviews
    • Maintain candidate database with heavy volume of applicants
    • Schedule attorneys for interviews tailored to each candidate’s areas of interest
    • Prepare materials for interviews, recruiting events, and recruiting meetings
    • Prepare correspondence (e-mails and offer letters) to candidates
    • Attend recruiting meetings, keeping organized record of all decisions made and action steps following meetings
    • Keep track of student expense reimbursements
    • Post and maintain job postings on external sites
  • Assist with Attorney Professional Development
    • Prepare for CLE (continuing legal education) trainings throughout the week
    • Track attorney vacation accrual
    • Prepare onboarding paperwork for new attorneys, process paperwork, and help coordinate new hire orientation
    • Develop strong relationships with attorneys and staff
  • Assist with various administrative tasks
    • Assist with office parties and events throughout the year
    • Prepare and process invoices and expense reports using Chrome River (Firm’s accounting software)
    • Coordinate meetings, conference rooms, and catering when needed

Required Skills

  • Must be able to thrive in a fast-paced setting, have excellent skills in written and verbal communication, organizational ability, be detail oriented, and able to prioritize and complete multiple projects under tight deadlines
  • Must be flexible to work overtime, when needed (mostly from April to August)
  • Must be able to work collaboratively in a team environment
  • Must be able to develop and maintain positive working relationships with others
  • Must be able to maintain a client-focused mentality and a professional demeanor 
  • Must be able to maintain confidential information and exercise discretion
  • Excellent computer skills with proficiency in MS Word, Outlook, Excel and PowerPoint

Preferred Experience

  • Experience in a Professional Services office environment preferred
  • 1 year of recruiting experience preferred

Bachelor’s degree required
