Description/Job Summary

The Executive Assistant is responsible for providing executive-level administrative support to the Chief Operating Officer (COO) of the firm. The ideal candidate will effectively provide broad administrative support to help organize and leverage the COO’s time effectively.  


  • Directly support the COO of the firm; utilize strong judgement in prioritizing requests and escalating matters to the COO as needed
  • Actively manage the day to day calendar of the COO
  • Oversight of heavy, complex meeting calendar, includes setting up various committee meetings which involve multiple partners across several time zones
  • Manage domestic and international travel; arrange travel schedules, itineraries, and meeting calendars across multiple time zones
  • Prepare, reconcile and track all department expenses
  • Assist with the creation, modification, and distribution of executive presentations
  • Support in the preparation of regular management reports
  • Proofread communications, documents and presentations
  • Perform other duties as assigned as needed

Required Skills

  • Minimum 7 years of executive assistance experience, preferably in a law firm or in professional services
  • Minimum of 5 years of experience handling bill reconciliation, processing invoices and variance analysis is required
  • Ability to handle sensitive/confidential material and information with suitable discretion
  • Strong working knowledge of  MS Outlook, Word and Excel
  • Ability to create MS Excel spreadsheets for analyses
  • Excellent interpersonal skills and a professional demeanor; ability to work effectively with all levels of Firm personnel and vendors
  • Strong written and verbal communication skills
  • Strong attention to detail with ability to proofread written materials
  • Must be able to work collaboratively in a team environment and independently
  • Ability to multi-task efficiently and effectively

Preferred Skills

  • Experience working with financial systems (accounting, billing, budgeting) in a professional services firm is preferred
  • Experience  working with master lease agreements, lease schedules and overall management of equipment leasing is preferred
  • Experience working with expense management system, Chrome River preferred

Required Education

  • Bachelor’s degree required
