Description/Job Summary

Under the general direction of the Operations Manager and the Senior Catering & Conference Coordinator, the Catering & Conference Coordinator is responsible the planning, coordinating, monitoring and oversight of food and beverage needs for all on-site meetings, conferences, and events.

Responsibilities/Duties

  • Review and interpret meeting and event requests, review and evaluate requirements for catering requests, oversee coordination of services and make recommendations as appropriate
  • Develop, manage, and maintain relationships with food and beverage vendors; evaluate catering providers and proposals, keep accurate list of vendors and contacts
  • Order, track, and receive catering orders, ensuring delivery contents are complete, and product quality and quantity meets standards; ensure compliance with building and firm policies and procedures
  • Maintain record of Firm personnel dietary restrictions and attorney preferences
  • Oversee catering and ensure quality of food and delivery services; provide feedback to management
  • Execute daily scheduling of catering functions
  • Set-up and break-down food and beverage for all on-site meetings and events according to Firm standards; create menu signage for all catering orders, noting ingredients and known allergens
  • Ensure food preparation safety standards follow sanitation and cleaning procedures based on Health Department guidelines; assist with food and beverage prep and set as needed
  • Prepare event proposals and final orders which show floor plans, menus, decor and cost while adhering to budget requirements
  • Maintain cleanliness, organization and full stock of supplies in Café, pantries and Catering Room
  • Brew coffee daily for Café and Pantries; refresh or arrange refreshing of coffee throughout the day
  • Maintain all related equipment in food service areas and schedule service as necessary
  • Update maintenance history records on all food service equipment
  • Follow-up with clients to ensure catering experiences and services are satisfactory; respond to internal employee feedback and requests regarding catering services
  • Keep apprised of building services, catering services, vendors, food allergens, best practices and trends
  • Additional duties as assigned

Required Skills

  • Familiarity with Health Department food safety standards preferred
  • Excellent written and verbal communication skills
  • Ability to maintain confidentiality at all times
  • Strong attention to detail
  • Must be able to work collaboratively in a team environment
  • Ability to foster and build relationships at all levels and communicate effectively and proactively, as needed
  • Flexibility to assist with planning & executing of on-site and off-site events including overtime (early AM & late PM set-ups & breakdowns)
  • Client-focused with the ability to provide customer service in a professional manner
  • Can organize, prioritize, plan and multi-task work activities, with the ability to effectively meet deadlines in a high pressure environment
  • Proficiency in MS Word, Outlook; basic knowledge of Excel

Required Experience

  • 1+ year of experience in food service or catering

Preferred Experience

  • 1+ year of experience in a professional services environment

Required Education

  • High School Diploma or GED equivalent required
