Description/Job Summary

The IT Accounting Coordinator is responsible for supporting the administrative and accounting needs of the Information Technology department, specifically providing senior level support to the CIO and Director, Global IT Operations.

Responsibilities/Duties

  • Handle all administrative details for the IT department and provide administrative support to the CIO and senior management
  • Screen internal and external correspondence, emails, memos and reports and assess significance ensuring timely distribution
  • Coordinate use of vendors, monitor invoices, purchase orders and payments, verify supporting documentation, conduct monthly and yearly analysis of vendor payment trends,
  • Ensure appropriate authorizations received for expenditures, identify cost effective alternatives, research proposals and secure approvals for vendor agreements
  • Develop detailed reports of accounts payable and vendor payment related information as part of the Information Technology budget creation process
  • Process purchase orders through the creation, submission, approval and equipment delivery steps
  • Monitor department expenses and payment of invoices and work with Accounting to ensure coding and payment follow Firm policies and guidelines; conduct general ledger analysis
  • Manage equipment lease master schedules, lease orders, end-of-lease returns and corresponding payments
  • Develop tracking databases and spreadsheets to ensure consistency of vendor payments throughout the department
  • Analyze actual versus various trends among IT general ledger accounts
  • Conduct analyses of accounts payable and budget information as requested by the CIO and Senior Management
  • Proofread communications, documents and presentations
  • Maintain various Excel databases in support of the IT department
  • Maintain files of select electronic and hard copy documents (i.e. contracts, purchase orders, invoices, etc.)
  • Monitor tracking and recording of travel and expense reimbursement requests
  • Coordinate departmental meetings, maintain meeting schedules, prepare travel itineraries, manage vendor relationships and prepare statistical analysis and reports
  • Perform other duties as assigned

Required Skills

  • Strong working knowledge of MS Outlook, Word and Excel
  • Strong working knowledge of core accounting principles
  • Ability to create MS Excel spreadsheets for analyses
  • Excellent interpersonal skills and a professional demeanor; ability to work effectively with all levels of Firm personnel and vendors
  • Strong written and verbal communication skills
  • Strong attention to detail with ability to proofread written materials
  • Must be able to work collaboratively in a team environment and independently
  • Knowledgeable with office systems (copier, fax, phone, computer)
  • Ability to handle sensitive/confidential material and information with suitable discretion
  • Ability to multi-task efficiently and effectively

Required Experience

  • Minimum of 3 years’ experience handling bill reconciliation, processing invoices and variance analysis is required

Preferred Experience

  • Experience working with financial systems (accounting, billing, budgeting) in a professional services firm is preferred
  • Experience working with master lease agreements, lease schedules and overall management of equipment leasing is preferred

Required Education

  • Bachelor’s degree in Business or related field required
