Description/Job Summary

The Workday Support Group (WSG) Assistant supports the day-to-day operations of the Human Resources department, providing assistance to managers and employees as they interact with the Workday system. The WSG Assistant will also maintain the documentation related to the Workday system, and will provide support and training using those materials to the team.  The WSG Assistant will perform various administrative functions including, employee transactions using Workday as assigned, performing Quality Assurance reviews of WSG team transactions and cases, the testing of system releases, and providing support for Firm and department initiatives and special projects.

Responsibilities/Duties

  • Guide employees, managers and other HR staff on usage of the Workday system
  • Utilize the Workday HCM system to perform various administrative transactions as assigned, including
    • Review and approve various employee self-service data changes
    • Initiate all HRIS-related records for newly hired employees
    • Perform other transactions to update HRIS-related records as required
    • Communicate updates to affected employees, managers, local HR, payroll, benefits, and/or finance in accordance with standard processes
  • Provide support to other WSG team members on usage of Workday system
  • Serve as point of contact for Workday adoption and change management
  • On a weekly basis, review and assess the accuracy of at least 10 transactions and/or cases;  Summarize and report the results of this Quality Assurance process to the WSG Manager
  • Address questions regarding employee records, personal information, HR supported events and programs and escalate to appropriate personnel when required
  • Assist in the testing of new and existing releases of Workday and HR systems and  provide support during update process as required
  • Serve as the focal point for the maintenance of accurate and updated documentation used by the WSG
  • Collaborate with WSG team members to identify and prioritize necessary enhancements or additions to WSG documentation
  • Provide navigation and transaction support to key stakeholders
  • Assist the WSG Manager with preparation and execution of periodic status updates with key Stakeholders;  Manage the resolution of any outstanding issues between meetings
  • Assist Chief HR Officer and Director of HR Technology and Analytics with special projects
  • Perform additional duties as needed

Required Skills

  • 1 year previous administrative experience required along with previous relevant experience working in HR
  • Proficiency with MS Office including Word, Excel and PowerPoint required
  • Prior experience with Workday required
  • Strong oral, written and verbal communication skills; excellent follow up skills
  • Excellent organizational, interpersonal and problem-solving skills
  • Operates independently and receives assignments in terms of overall goals and objectives
  • Ability to manage multiple projects, work independently, prioritize workloads, and meet deadlines
  • Ability to use tact and discretion and maintain utmost confidentiality of personnel information
  • Ability to deliver exceptional customer service at all times; exercise courtesy and diplomacy with Firm personnel and representatives outside of the Firm
  • Highly dependable and demonstrated consistent, effective administrative and clerical performance for the accomplishment of responsibilities and defined objectives.
  • Strong administrative and data management skills

Preferred Experience

  • Microsoft Suite – Excel, Word, PowerPoint and Microsoft Teams
  • Prior experience with talent management and applicant tracking system preferred
  • Prior law firm experience preferred
  • 2 years of experience within a corporate HR environment preferred

Required Education

  • High School diploma or GED equivalent required

Preferred Education

  • Bachelor’s degree or equivalent experience preferred

Salary Information

The estimated base salary range for this position is $65k to $75k at the time of posting. The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. This role is non-exempt meaning that it is overtime pay eligible.
