The Information Governance Operations Clerk is responsible for assisting the Supervisor-Information Governance in all aspects of operations by processing legal documents, maintaining files, responding to requests and performing general administrative duties.
Responsibilities/Duties
Process legal documents:
Processes new material for client matter files
Opens new file/subfile folders
Indexes documents, assembles file material
Enter identifying document information into FileTrail RMS
Review material prior to updating database
Maintain files:
Updates Records Department system, FileTrail
Create files for correspondence and memoranda folders
Prepares documents and files for imaging
Shift files on shelves to create space as needed
Place material on shelves in proper client matter order
Close files and prepare them for shipment to the off-site storage
Respond to requests:
Gather information from legal staff to in order to locate appropriate files
Conduct searches on LegalKey
Complete all paper work to retrieve material from OSRC as needed
Search files in central records for requested material
Perform general administrative duties:
Assist in maintaining department records to maximize overall efficiency
Assist with proofreading assignments
Assist with record filing duties at OSRC as needed
Fill in for Supervisor or Manager during the day for brief periods of time
Maintains professional, service-oriented work environment
Perform other duties as assigned
Required Skills
Ability to effectively present information verbally and in writing
Data entry skills
Basic reasoning skills to conduct searches and understand the needs of the legal staff
Preferred Skills
1 to 3 years of relevant experience preferred
Experience with at least one RMS such as FileTrail or LegalKey, preferred
Knowledge of Word, Excel and PowerPoint preferred

The estimated base salary range for this position is $40k to $50k at the time of posting. The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. This role is non-exempt meaning it is overtime pay eligible.
