Description/Job Summary

The Senior Coordinator, Staff Attorney and Paralegal Administration, is responsible for providing high level support to the Staff Attorney and Paralegal Department, including the management team. This role entails a variety of complex and confidential administrative duties, requiring a broad working knowledge of departmental and Firm policies as well as familiarity with city, state and Federal labor laws.

Responsibilities/Duties

  • Partner independently with HR regarding Firm programs, policies and procedures, and ensure compliance with law updates
  • Oversee implementation of Department and Firm initiatives
  • Maintain numerous databases/applications regarding personnel data, including but not limited to: Workday, viDesktop, Excel, iManage and SharePoint 
  • Interface regularly with Finance/Payroll, HR/Benefits, IT, Office Services, and other departments as needed to prepare and process various departmental forms and information
  • Assist staff with daily/ongoing administrative matters
  • Monitor employee time records, including absences, on a weekly, monthly and quarterly basis; prepare bi-weekly overtime reports and process overtime compensation
  • Assist with onboarding of new hires; train new hires on departmental policies and procedures
  • Conduct various reporting on behalf of the department, including year-end absence stat reports
  • Reconcile monthly department expenditures
  • Circulate annual evaluations and process annual salary increases and periodic bonuses
  • Administer annual updating of  relevant procedure manuals
  • Cull data in preparation for annual department budgets
  • Application of technology advancements with existing tools and/or identification of new resources
  • Perform other duties as assigned

Required Skills

  • Ability to communicate effectively verbally and in writing
  • Advanced knowledge of MS Outlook and Word and proficiency in Excel
  • Must possess statistical and budgeting skills along with strong analytical skills
  • Exceptional attention to detail
  • Excellent organization skills and effective time management; ability to multi-task and prioritize work in a pressured environment
  • Highly versatile and adaptable with the ability to work effectively with all levels of internal management and staff
  • Ability to exercise good judgment and discretion regarding confidential or sensitive information
  • Strong trouble-shooting and problem-solving skills
  • Ability to work independently or as a team player
  • Ability to be proactive and anticipate the needs of the department

Required Experience

  • 4 to 6 years of relevant experience required

Preferred Experience

  • Prior administrative experience in a professional services firm preferred

Required Education

  • Bachelor’s degree required

Salary Information

The estimated base salary range for this position is $75k to $85k at the time of posting. The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. This role is exempt meaning it is not overtime pay eligible.
