Description/Job Summary

The Legal Personnel Coordinator is responsible for supporting the Legal Personnel and Professional Development Department with the Litigation Assigning Process and the Associate review process, and contributing to the overall Legal Personnel Department function Firm-wide.

Responsibilities/Duties

  • In coordination with the Legal Personnel and Professional Development departments, provide guidance and ongoing support to Associates, Senior Associates and Assigning Partners with the Litigation Assigning Process; evaluate staffing requests/needs, assist with recommendations, and coordinate and provide weekly updates on availability and hours
  • Assist with the coordination and administration of the semi-annual Attorney Review process; work with the Chief, Director, Manager, Partners and Associates to ensure Associate evaluation files are complete, ensuring accuracy of entered information and database functionality; maintain review-related reports
  • Assist with orientation and integration process for all new Associates, including facilitating ‘Welcome to the Floor Parties’ and necessary communications and notifications
  • Coordinate special events, including fall orientation, training programs, Practice Group retreats, Attorney dinners and monthly Coffee Hours/Happy Hours and social events
  • Compile statistical information and assist with various monthly and quarterly reporting for department reporting and various information requests, such as month-by-month departure chart and departure statistics, flex-time quarterly analysis, and other Finance-related reports
  • Provide general support and assistance to the Legal Personnel department on an ongoing basis; ensure consist and appropriate information between offices
  • Assist with Summer Associate recruiting, including candidate scheduling and On-Campus interviewing process
  • Assist with Legal Recruiting related functions as needed on a seasonal basis
  • Work with Purchasing Department to come up with STB-branded promotional items on an as-needed basis
  • Assist with industry-related surveys
  • Must be flexible to adjust hours to meet departmental needs and attend occasional related evening events
  • Perform related work and other duties as required

Required Skills

  • 2 to 4 years of related experience
  • Strong oral and written communication skills; strong interpersonal skills
  • Ability to interact well and build professional relationships while maintaining confidentiality
  • Ability to self-direct and adapt to changing working demands and multiple priorities
  • Strong organizational skills and attention to detail
  • Ability to make effective judgments in line with Firm policies, procedures and/or guidelines
  • Must be team oriented
  • Proficiency in MS Word, Excel and PowerPoint, and comfortable working in web-based databases/software, such as viDesktop

Preferred Skills

  • Prior experience in a law firm or professional services firm
  • Understanding of applicable laws and regulations for handling Associate personnel files and other sensitive and confidential information
  • Understanding of various databases and/or programs and effective methods for acquiring relevant information

Required Qualifications

  • Bachelor's degree

Preferred Qualifications

  • Bachelor’s degree in Training and Development or related field a plus
