Description/Job Summary

The Paralegal Administrator is responsible for providing senior level support to the New York Paralegal Department and its management team. This role entails a variety of complex and confidential administrative duties requiring a broad working knowledge of departmental and Firm policies as well as familiarity with city, state and Federal labor laws.

Responsibilities/Duties

• Various reporting on behalf of Paralegal Administration
• Partner independently with HR regarding Firm programs, policies and procedures
• Daily/ongoing interaction with staff regarding administrative matters
• Interface regularly with Accounting, Benefits, HR, IT, Office Services, Payroll and other departments as needed
• Maintain numerous databases/applications regarding personnel data, including but not limited to: UltiPro, viDesktop, Excel and SharePoint
• Monitor employee time records on a weekly, monthly and quarterly basis
• Prepare bi-weekly overtime report and process overtime compensation
• Reconcile monthly department expenditures
• Prepare and process departmental forms/info for Accounting, HR, Office Services and Payroll
• Prepare and regularly maintain staff absence reports; finalize year-end absence stats
• Circulate annual evaluations and process annual increases
• Onboarding of paralegal new hires
• Train new hires on departmental policies and procedures
• Administer annual updating of the NY Paralegal Policy Handbook and Procedures Manuals
• Cull data in preparation for annual department budget
• Oversee implementation of Department and Firm initiatives
• Application of technology advancements with existing tools and/or identification of new resources
• In conjunction with HR, execute all necessary steps as changes to law(s) arise

Required Skills

  • 4 to 6 years of relevant experience required
  • Ability to communicate effectively verbally and in writing
  • Advanced knowledge of MS Office; proficiency in Excel
  • Must possess statistical and budgeting skills along with strong analytical skills
  • Exceptional attention to detail
  • Excellent organization skills and effective time management; ability to multi-task and prioritize work in a pressured environment
  • Highly versatile and adaptable with the ability to work effectively with all levels of internal management and staff
  • Ability to exercise good judgment and discretion regarding confidential or sensitive information
  • Strong trouble-shooting and problem-solving skills
  • Ability to work independently or as a team player
  • Ability to be proactive and anticipate the needs of the department

Preferred Skills

  • Prior administrative experience in a professional services firm preferred
