Description/Job Summary

The Senior Payroll Specialist is responsible for processing payroll for legal and non-legal staff in the US as well as expatriates and a non-qualified pension payroll.


  • Process semi-monthly payrolls in a timely manner
  • Enter new hires, terminations, benefit, disability and employee information changes into payroll system
  • Expatriate experience, familiarity with form 673 and Certificate of Coverage
  • Assist manager with preparing year-end bonus payments as well as salary increase by grid for attorneys
  • Ability to upload mass changes into payroll system
  • Review and audit master file and pay data entries
  • Review Quick pay Payroll registers for accuracy before releasing payroll
  • Prepare and upload payroll journal entries into financial system
  • Work with Finance on monthly reconciliation of payroll expense accounts and provide backup as needed.
  • Print out Quarterly Statement of deposit accounts to make sure payroll taxes are reconciled on a quarterly basis
  • Print and Distribute payroll checks as required
  • Check handling (stop payments, reissues and direct deposit returns)
  • Verification of employment forms
  • Process liens, garnishments and child support notifications
  • Work closely with Benefits department to ensure accurate benefit deductions
  • Assist manager with reconciling employee information between the HRIS system and the payroll system on a quarterly basis
  • Prepare multiple worksite reports
  • Monitor the regulatory environment to stay abreast of internal and regulatory compliance requirements
  • Maintain payroll records electronically as well as general filing
  • Communicate with employees and managers on inquiries and discrepancies
  • Respond to payroll inquiries and resolve any payment discrepancies
  • Perform other duties as assigned such as projects

Required Education

  • High School diploma or GED equivalent required

Preferred Education

  • Bachelor’s degree preferred

Required Qualifications

  • 5 to 10 years of payroll experience with computerized payroll processing required
  • Ability to effectively present information verbally and in writing
  • Basic math skills: addition, subtraction, multiplication, division
  • Ability to prorate salaries as well as knowledge of how to do currency conversions
  • Experience with ADP reporting
  • Proficiency in MS Excel
  • Strong attention to detail
  • Excellent analytical and problem solving skills
  • Can organize, prioritize, plan and multi-task work activities
  • Ability to work remotely on an as needed basis

Preferred Qualifications

  • General accounting and law firm experience preferred
  • Previous experience with ADP Vantage or similar ADP systems
  • Proficiency in MS Word preferred
  • Fundamental Payroll Certification preferred
